Entries

Entries close May 25, 2024. Entries submitted after this date will be assessed a late entry fee. Every Exhibitor, rider, driver, handler and trainer or his/her agent(s) must sign an entry blank. In the case of a rider, driver or handler under the age of 18, a parents or guardian must sign an entry blank on the minor’s behalf. Post entries will be accepted with an additional fee of $50.00. Stall fees must accompany entry to insure reservation. Each entry will pay the USEF fee of $23.00 (Drugs/Medications fee $15.00/USEF Federation fee $8.00), $7.00 USHJA Fee & $30 schooling fee and a $20 night watch fee. A $50 NSF check fee will apply to all accounts paid with a check that bounces. Make checks payable to GCHS, Inc.

Refund Policy

After an entry is submitted, stall fees will be charged even if a horse is scratched. There will be a scratch fee equal to the office fee for any entry scratched after the entry has been accepted.

There will be a $50 close out fee for all those entries not closed out by trainer or exhibitor.
A 4% convenience fee will apply to all card charges.

How to Enter

  • All Hunter Jumper entries must be made via Horse Shows Online.
  • Search for the horse show name and use the system to submit your entry.
  • Online entry for this show will close at noon on Saturday before the show.
  • Please do not mail in a paper entry if you enter online.
  • Paper entry blanks will only be accepted from Sunday 6/1/24 thru the end of the show. There is an additional fee of $60 for late entries. For changes to entries where scratched horses are replaced on or after 6/1/24, there will be no late fees assessed.
  • We do not accept entries via phone, text, or fax.
  • Stall reservations must be emailed to Barney Mallace
  • Online entries will not reserve your stalls.
  • Trainers must email stall counts to be assured of a space.

USEF/USHJA Credentials and Measurement Cards

All participants must be able to provide current membership or proof of USEF show pass fee paid. Amateur certification for A/O and Adult Am. Classes, as well as measurement cards for Junior Hunters and Pony Hunters must be available to the horse show secretary before numbers will be issued.

All horses competing in Federation non-breed restricted licensed competitions with hunter, hunter breeding, jumper and hunter seat equitation classes (exception: costume entries, opportunity and lead line entries) must be properly registered with USHJA at USHJA.org. Animals without a current valid measurement card issued by USEF must be measured by the show steward, each day @ approx. 10:00am.

Grounds Fee

A grounds fee of $50 for the week of the show will be charged for each horse brought not in a stall. Horses may not share stall fees. All stabled horses will be charged an entire stall fee regardless of sharing space.

Non-Showing Horse Fee

A non-showing fee of $150.00 will be charged for each horse, pony, mule, etc. stabled on the grounds and not in competition in a complete division. Non-showing horses must be listed on a completed entry blank.

Exhibitor Passes

No more than one parking and two exhibitor passes provided per entered horse or pony. Additional passes will be available in the horse show office at a cost of $5 per exhibitor pass and $10 per parking pass.

Coggins Tests and Health Certificates

A Current negative Coggins Test certificate dated within one year must be submitted ON PAPER as well as current veterinarian practice health papers noting Equine Influenza Virus and Equine Herpes Virus vaccination within 6 months of the competition. If your animal’s vaccinations were not administered by a veterinarian, you must, if asked be able to provide to secretaries, a receipt for purchase of vaccines, signed by the owner or agent with control of the animal; name, serial #, expiration date and date of administration.

Stabling

Permanent stabling of 260 stalls and additional tents are on the show grounds at a cost of $210.00 per stall. All stalls are approx. 10×10 w/doors. Stall floors might be packed limestone, rubber mats or grass, depending on stall locations. All stall doors are provided. Stabling is available on a first-come, first-served basis. EMAIL Barney Mallace at: BMallace3000@gmail.com for all stall reservations. Management reserves the right to close entries. SHIP-IN ENTRIES for showing out of your trailer is not allowed due to space restrictions. All showing horses will be charged an entire stall fee regardless of sharing space. Horses may not share stall fees. Additional stalls are also available during the show at the Shelby Show Place Arena. Sharps containers will be provided for all barns and tents. Improper use of or disposal of sharps will result in fines, per USEF rules.

Stall Reservations

Due to limited space available, stall reservations must be emailed to Barney Mallace by May 25, 2024. Stabling will be available from 12:00 Noon on the Sunday prior to the show until 12:00 Noon on the Sunday following the show.

Horse Show Office

The Horse Show Office will be open by 8:00 a.m. the day prior to the start of the show for processing entries. The office will open approx. 1 hour prior to the start of the show each day. Numbers will not be issued without open check or credit card on file. 4% convenience fee for accounts closed with any credit card type.

RV Parking

RV Parking is available at a rate of $300.00 for the entire show or any portion of the show. Space is limited. RV spots must be reserved BY EMAIL WITH BARNEY MALLACE at: BMallace3000@gmail.com.
RV Registration card must be picked up in show office and displayed in a location visible from outside the trailer. Please do not show up with your camper if you do not have a reservation! Additional camper spaces may be available at the Agri-Center Show Place Arena – 901-378-7470

Schooling, Warmup and Medic

For the convenience of exhibitors schooling will be allowed throughout the day on Monday, beginning at 10:00 A.M. All entered horses will be required to pay the $30.00 schooling fee and $20 medic fee. Approved hard hats must be worn with chin-straps fastened. No poling or offset oxers will be allowed at any time.

Classes

Management reserves the right to limit entries, alter courses; prohibit or disqualify exhibitors; change, cancel, limit or combine classes at its discretion to compensate for excessive or inadequate entries or due to acts of nature, without claim for damages.

Officials

The show committee reserves the right to substitute a show official in the event of failure of an advertised show official to attend this show or perform his duties.

Proper Attire

It is the tradition of the show ring that riders and drivers and handlers be correctly attired for all classes and that horses be properly presented. Formal attire is required in the Grand Prix. Proper attire will be required in all Classics.

Headgear/Hard Hat Requirements

It is compulsory for all persons at Federation licensed hunter, jumper, or hunter/jumper competitions when mounted anywhere on the competition grounds, to wear properly fastened protective headgear which meets or exceeds ASTM (American Society for Testing and Materials)/SEI (Safety Equipment Institute) standards for equestrian use and carries the SEI tag. It must be properly fitted with harness secured. Exception: In Hunter or Jumper classes, adults may be allowed to remove their headgear while accepting prizes and during the playing of the National Anthem only; they must refasten their headgear prior to the lap of honor. It is compulsory for riders in Paso Fino classes, both open and breed restricted including Hunter Hack, where jumping is required and when jumping anywhere on the competition grounds to wear properly fastened protective headgear which meets or exceeds ASTM (American Society for Testing and Materials)/SEI (Safety Equipment Institute) standards for equestrian use and carries the SEI tag. It must be properly fitted with harness secured. A Show Committee, Competition Management, and Licensed Officials must bar riders without protective headgear from entering the ring for classes in which protective headgear is required and may bar any entry or person from entering the ring if not suitably presented to appear before an audience.

Footing

All show and warm up rings are made of all-weather footing of sand and limestone screenings. Arena dimensions as follows: Main arena-130’x250’, North arena-112’x215’, South arena-120’x224’.

Prize Money Information

2022 Hunter prize money offered was $38,700, guaranteed prize money was $24,000.

2022 Hunter prize money paid out was $28,680.06

2023 – Rated prize money offered is $49,600, guaranteed prize money is $20,000.

 

Trophies, Ribbons & Prizes

A trophy and ribbons 1st – 8th will be awarded in all classes unless otherwise specified. Prize money will not be credited to exhibitor’s account without a valid Social Security number. Refunds and additional prize money, if owed will be mailed within 30 days of the completion of the show.

Hunter and Jumper Championships

Hunter Championships & Jumper Championships will be awarded on the basis of points won in classes throughout the section. Trophy presentations will follow all classes in the main arena.

Courtesy Circle / Jog Policy

In all Hunter classes, a dotted line for your courtesy circle may be put into effect at Management’s discretion. Rated hunter classes that require jogging for soundness will use a trotted circle at the end of each o/f round.

Jump Order

A rotating jumping order will be established and posted for all jumper classes. All horses must be ridden in the posted order. Riders and trainers who have conflicts due to multiple entries in a class must see the starter so that necessary adjustments can be made.

Dogs

Germantown has a strict “Leash Law”, and unleashed dogs are subject to impoundment and their owners fined. Loose dogs that are a problem, especially if caught in any arena will cost exhibitor $100.00.

Motorized Vehicle Statement

Minors who do not have a valid driver’s license which allows them to operate a motorized vehicle in the state in which they reside will not be permitted to operate a motorized vehicle of any kind, including, but not limited to, golf carts, motorcycles, scooters, or farm utility vehicles, on the competition grounds of licensed competitions.

Minors who have a valid temporary license may operate the above described motorized vehicles as long as they are accompanied by an adult with a valid driver’s license.

The parent/legal guardian or individual who signs the entry blank as a parent or guardian of a minor operating a motorized vehicle in violation of this rule are solely responsible for any damages, claims, losses or actions resulting from that operation. Violations of this rule will be cause for penalties against those responsible for the child committing the offense. Wheelchairs and other mobility assistance devices for individuals with disabilities are exempt from this rule.

The unsafe use of personal electronic transport devices, as determined by the competition officials and management in their sole discretion, that do not require a driver’s license to operate, including but not limited to Segways, hover boards, and single wheeled scooters is prohibited on competition grounds. Operating such devices in areas where people gather may be deemed “unsafe use” if there is a risk of harm to others. If the operator of the device is a minor, the parent/legal guardian or individual who signs the entry blank as a parent or guardian of a minor operating the device in violation of this rule is accountable and may be subject to penalties. Wheelchairs and other mobility assistance devices for individuals with disabilities are exempt from this rule.

Responsibility

Neither the Germantown Charity Horse Show Inc., the manager, his employees or any other employee of the show will be responsible for any article of any kind or nature that may be lost, destroyed or stolen, nor liable for any injury sustained to horse, exhibitors, spectators or employees of exhibitors. The foregoing shall be included as a condition of entry.

Warning

  • Under Tennessee law, an equine professional is not liable for an injury to or the death of a participant in equine activities resulting from the inherent risks of equine activities, pursuant to Tennessee Code Annotated, title 44, chapter 20. 44-20-103. Limitation on liability for injury or death of participant Except as provided in §44-20-104, an equine activity sponsor, an equine professional, or any other person, which shall include a corporation or partnership, shall not be liable for an injury to or the death of a participant resulting from the inherent risks of equine activities. Except as provided in §44-20-104, no participant or participant’s representative shall make any claim against, maintain an action against, or recover from an equine activity sponsor, an equine professional, or any other person for injury, loss, damage, or death of the participant resulting from any of the inherent risks of equine activities.

USEF Membership Statement

Eventing Competitions at the Modified Level or above, Combined Driving Competitions at the Advanced Level, Dressage Competitions, Endurance Rides and Vaulting Competitions: (See GR828.4 of the Federation rules). Life, senior active and junior active members shall be eligible to participate in all classes at Regular Competitions, Eventing Competitions at the Modified Level or above and Combined Driving Competitions at the Advanced Level, Dressage, Reining and Vaulting Competitions and Endurance Rides. A non-member may participate as a handler, rider, driver, owner, lessee, or agent, at Regular Competitions, Eventing Competitions, Dressage Competitions, Reining Competitions and Combined Driving Competitions upon payment of a Show Pass fee. Participants in the following classes are exempted from the Requirements of this rule: 1) lead line; 2) exhibitions; 3) games and races; 4) classes for 4-H members; 5) walk trot (exception: Friesian performance FR231) and academy classes (academy classes are classes limited to horses used regularly in a lesson program); 6) USDF introductory level tests, pas de deux and quadrille classes; 7) NRHA Endorsed Reining Competitions. 8) Opportunity classes, 9) citizens of other nations who have proof, in English, of current membership in good standing of their own National Federation, 10) USEA beginner novice division; and 11) assistant handlers in Dressage Sport Horse Breeding classes.

Safesport Reminder

All USEF Life and Senior Active members, as well as participants who have regular contact with minor athletes, are required to comply with the U.S. Center for SafeSport training requirement to be eligible to participate in the competition. All participants must adhere to the U.S. Center for SafeSport Code, USEF Safe Sport Policy, and the Minor Athlete Abuse Prevention Policies. More information about these can be found at www.usef.org.
